Recording a new delivery

Everyone can record a delivery. In Settings > Receiving tap +, then New delivery. It takes 7 short steps. Next stays grey until the step is complete, Back goes back, and Close leaves (the app asks first if you entered something).

  1. Supplier: choose it. A new one: tap Add a new supplier, type the name and tap Use this supplier.
  2. Items: for each item choose the category, type the material and the quantity with its unit. Add the lot number and the date on the label (expiry, best before or manufactured) if there is one, and a photo of that date if you want. Add another item adds more.
  3. Temperature: type or slide the temperature of each item.
  4. Door checks: answer packaging, delivery vehicle and product condition with OK or Not OK. You can add photos of the delivery here.
  5. Documents (optional): add the supplier’s papers, such as the invoice.
  6. Review: check the summary; go back to fix anything.
  7. Decision: choose Accepted, Accepted with action or Rejected, add a note if needed and swipe Swipe to save the delivery.

Meat, poultry, fish, eggs and dairy must arrive at 5 °C or colder; their temperature is asked by default. Above that the item is marked as outside the safe range and the delivery cannot be accepted as it is. Other goods have no limit; turn on Record temperature only if you measured one.

  • Accepted: the goods are fine and go into stock.
  • Accepted with action: you keep the goods but something was wrong. Write the reason; an issue opens for someone to follow up.
  • Rejected: the goods are not kept. Write the reason.

If a temperature is too high or a door check is Not OK, Accepted is not offered.

Do I have to add the invoice or other documents?

Section titled “Do I have to add the invoice or other documents?”

No, they are optional. You can add the invoice, commercial register, approvals, lab result, health or halal certificate, certificate of origin or another paper, up to 5 photos each. Papers already on file for the supplier are listed so you don’t add them every time. Everything saved shows later on the supplier and on each batch.

Each item becomes a batch in Receiving with its dates, so the app can warn you before it expires. Accepted items are available, rejected ones are marked rejected. The checks, temperatures and photos stay as proof for inspectors.

On the items step, every item needs a category, a material and a quantity above 0. On the temperature step, an item has Record temperature on but no value: type one or turn it off. On the door checks, all three need an answer.

Do I have to photograph the date on the package?

Section titled “Do I have to photograph the date on the package?”

No. It is optional, but it helps prove the date to an inspector. You still choose the date yourself.
