Adding, renewing and viewing a document

Owners and branch managers open Settings > Papers > Documents and tap Add a document.

  1. Choose the type. For a personal certificate, choose who it is for: a team member, or Not in the app and type the person’s name.
  2. Choose the end date, or turn on No end date. The issue date is optional.
  3. Add a photo of the document (required): photograph it or choose it from the gallery, then crop it.
  4. Add a note if you want and swipe Swipe to save.

The app says it is already on file and offers Renew it, so each person has one current certificate.

Do not add a new one. Open it and tap Renew document (owner, branch manager), enter the new dates and photo and swipe Swipe to renew. The old version stays in the history.

The photo (tap to enlarge), the type, the person, the dates, the note and when the reminder comes. The history lists every version; the one in use is marked “Current”.

Section titled “How do I link a certificate to a team member?”

An older certificate saved with only a typed name shows Link to a team member. Tap it and choose the person. Then that person can see their own certificate in the app.

Open the pest control contract. Owners, branch managers and supervisors tap Log a visit, write what was found if anything, add a photo of the visit report and swipe Swipe to log visit. Every visit is listed under “Pest control visits”. Inspectors check that visits happen regularly.

Add one Chemical (SDS) document for each cleaning chemical used in the branch, with a photo of its safety data sheet. Everyone, including staff, can open these to read how to use and store the chemical safely.

Something is missing: the type or the person’s name, an end date (or No end date turned on), or the photo. The end date also cannot be before the issue date.
